If you see an error or need to make changes to a line item in the batch file, it is recommended that you delete the entire batch file and upload a new version—before the cut-off time of 11 am PST (2 pm EST) on the processing date.
- On the menu, click processing> batch processing. The list of batch files opens.
- Click to view the Batch Properties (last column). When done, click Close.
- Click a batch file line item to open the Transaction Details report. Errors are identified in the Status column.

There are seven line items totalling $6200.50; in the Status column, two transactions are flagged with errors. For Column descriptions, see the table below.
|Trans. Type||Indicates the type of transaction you are processing against the recipient bank account:
C – Credit.
D – Debit.
|Trans. ID||Unique identifier for each line item in a batch file. You may be asked to reference this ID.|
|Customer||Name of the recipient as entered in your batch file.|
|Reference||Used internally by your bank payment service provider.|
|Bank||Bank identification number.|
|Branch||Recipient 5-digit branch identification number|
|Account||Recipient bank account number.|
|Amount||Deposit amount paid to the recipient.|
|States||Each transaction is assigned a unique state at various stages of processing. See the table of Batch File States below.|
|Status||Indicates the current status of the transaction. At various stages of the file transfer process, a transaction may have its status updated. Make sure you review the transaction status after you upload a file and after a file is due to credit the recipients account.|
|Batch Properties||Click the edit icon to view.|
|Importing||1||The uploaded batch file is in the process of being imported into the system. Each payment record is validated and set to the appropriate state and status.|
|Scheduled||2||The file or transaction scheduled for processing. A batch file in scheduled state allows modifications to properties and can be deleted. Note: If needed, a transaction in Scheduled state can potentially be cancelled even if the file has started processing, contact Client Services (1.888.472.0811)|
|In Process||3||The Batch file is in process, with some or all transactions submitted to the bank. The state changes to In Process some time during the day, on the Processing Date set for the batch file.|
|Complete||4||Processing of the file is complete, and all transaction processing is finished. The file state changes from In Process to Complete on the credit settlement date. Note: You can drill down to the Transaction Details to see any processing errors in the file.|
|No Transactions||5||This state indicates that the uploaded batch file contains no transactions of the associated payment type. . Note: This is a file level state only.|
|Deleting||6||The system is in the process of deleting the batch.|
|Cancelled||7||The batch was cancelled and will not process.|
|Deleted||8||The batch was successfully deleted. Note: This is a file level state only.|
|Generating||9||Transactions are in the Generating state as they are prepared to be submitted to the bank for processing, but are awaiting confirmation the transaction were accepted. After confirmation is received, the state is changed to In Process.|
|Batch Limit||10||The total dollar amount of the batch file transactions are over the maximum limit that can be processed on the merchant account. You can:
• Reduce the total dollar value of the batch
• Contact Customer Support for a one time override OR request a permanent increase for you maximum file limit.
. Note: This is a file level state only.
|Pending Review||13||(Only if Dual Authorization is enabled.) Immediately after the Importing state is successful, the batch file is put into Pending Review state to be reviewed. All users with permission to authorize batch files receive email indicating a file is pending and awaiting for approval. When the reviewer is satisfied with the status of the batch, they are expected to submit the batch for authorization, which moves the batch state to Pending Authorization.|
|Pending Authorization||14||(Only if Dual Authorization is enabled.) The batch file passed review and is waiting for authorization to process, which moves the state to Scheduled.|
|Duplicate Batch||15||The batch file is duplicate of a previous batch, and the file will not process. If the merchant wants to process the file, they must edit the batch file properties and select Set to Scheduled.|
|Line Limit||17||If one transaction in the batch file is over the maximum amount for a single payment, the transaction state is set to Line Limit, and the batch file stays in the Scheduled state.
• This is a transaction level state only.
• You cannot ask for an override for the transaction, you must delete the batch and upload it again.
